Insightly CRM review: $29-$99 per seat, what Plus blocks, Enterprise-only quotes and SSO, the 'required' onboarding fees, Copilot limits and lossy data export.
Insightly prices its CRM like a mid-market tool: $29, $49 or $99 per user per month, billed annually. Those numbers have not moved in more than two years. Archived copies from June 2024, August 2025 and February 2026 show the same figures as the live page, checked on November 5, 2026.
What has moved is everything around the seat price. The free plan for two users is gone. An AI assistant arrived, but not on the cheapest tier. And the plan comparison table now lists onboarding and support fees with the word "required" beside them.
So the useful question is not what a seat costs. It is which seat you need before Insightly does the job you bought it for, and what year one costs once the extras land. Our answer: Professional at $49 is the real entry point, Plus is a contact database with a pipeline, and leaving later costs you most of your email history.
Ownership changed in 2024. Insightly merged with Unbounce, the landing-page company, in a deal BetaKit reports closed on July 10, 2024. Your contract is still with Insightly, Inc., a Delaware corporation based in Denver, but the support inbox is now an Unbounce address.

| Plus | Professional | Enterprise | |
|---|---|---|---|
| Price | $29 | $49 | $99 |
| Workflow automations | Not available | 50 | 50 |

| Copilot AI queries | Not available | 75 per seat/month | 100 per seat/month |
The row that decides it is the second one. Without workflow automation, every follow-up email, every stage-change task and every handover on a won deal is something a person remembers to do. That is the main reason teams buy a CRM rather than a shared spreadsheet, and Plus does not sell it. The pricing table also appears to cap Plus at two role-based permission sets, which gets tight once sales and support need different views.
Professional gives you 50 workflow processes, with automated emails capped at 100 per user licence per day. A five-seat team can therefore send 500 automated emails daily on top of the 5,000 manual ones.
There is no seat minimum on the CRM-only plans; the "2, 5 or 10 users included" figures you may see belong to the All-in-One bundle. Monthly billing exists, but Insightly publishes no monthly price, so you will be quoted one by sales. The 14-day trial needs no card and runs at Professional level. The catch: automation you build during the trial is not part of Plus.
The $99 tier is where Insightly keeps the admin controls. Validation rules (50), calculated fields (20), roll-up summary fields, dynamic layout rules, Lambda functions, 18 months of audit log, one sandbox, SAML SSO and SCIM, and custom apps are all Enterprise-only.
Most of those are what a larger team expects to pay for. Two are not. Products, price books and quotes are also Enterprise-only, so a sales team that wants to send a quote from its CRM pays twice the Professional rate. For ten seats that is $990 a month instead of $490, or $6,000 more a year, for one feature. And any company whose IT policy demands SSO is on Enterprise by default.
Scroll to the bottom of the CRM comparison table and two lines appear that the plan cards do not mention: "Guided product onboarding - required $1,500" and "Premier support and success - required 20% of license ($3,000 minimum annually)". The FAQ on the same page describes Premier as something you "can upgrade to" for faster responses. The page contradicts itself, and it does not say whether "required" applies to a CRM-only purchase. Get the answer from sales in writing before you sign.
It matters because of the minimum. Take ten Professional seats as an example: $5,880 a year. Twenty percent of that is $1,176, so the $3,000 floor applies. Add the $1,500 onboarding and year one comes to $10,380 - about 76% above the sticker price, if both lines are charged.
What standard support includes: phone Monday to Friday, 9 a.m. to 4 p.m. Pacific, or email with replies typically within 24 hours. Premier adds a priority queue and a named success manager. Guided onboarding is 4 to 6 Zoom sessions over 4 to 6 weeks, and anything beyond it is billed as time and materials.
Copilot first appeared on the pricing cards between the August 2025 and February 2026 snapshots. It is a chat panel over your CRM data: it summarises a contact, lead or project, drafts outreach emails, preps you for a meeting, answers questions about records, and creates or updates records from a plain-English request, asking you to confirm before it changes anything.
The allowance is the limit to look at. Professional includes 75 queries per seat per month and Enterprise 100; Plus has none, and the trial gets 75 in total. Seventy-five a month is roughly three or four per working day. Enough for meeting prep, not enough to make Copilot the way you work the CRM. Top-ups cost $19 per 100 queries. Insightly says Copilot does not train on customer data, and states that Copilot itself is not HIPAA compliant, which rules it out for patient records. The help centre also documents an MCP server for the CRM, though we have not tested it.
Insightly's best idea is older than its AI: contacts, organisations and opportunities link through to projects, so a won deal can become delivery work without leaving the CRM. Contact records also carry tabs for QuickBooks, Xero and Mailchimp data.
Users broadly agree on the trade-off. Insightly sits around 4.2 out of 5 on G2 from roughly 940 reviews, and the summary there praises ease of use while flagging limited customisation, especially in reporting and how things look, and a setup that takes time. On Capterra, customer service scores lowest of its ratings, around 3.8.
This is the part to read before you sign. Exporting is a permission an admin grants, not a default. The full-account export (System Settings, then Data Export, then "Email me an Export of All Account Data") arrives as zipped XML. Main record data exports in full and calendar events are included. Emails keep only their first 100 characters, headers included. Files are not exported at all. Two years of logged email threads therefore leave as two years of subject lines, and every attached contract or proposal has to be downloaded some other way.
The terms of service, last updated October 14, 2026, add three more points. Subscriptions renew automatically for the same term unless you give notice at least 30 days before it ends. Cancelling brings no refund or credit. And Insightly "may delete Your Data from the Services within twenty-four (24) hours" of expiry or termination, with an export available on request only in the ten days before termination. The help centre mentions a 14-day grace period instead; plan for the 24 hours. Note too that the in-app Cancel Account button deletes the account and its data at once. To stop billing and keep the data, you have to contact billing, and accounts cannot be paused.
The CRM is the front door to a wider Insightly bill. Insightly Marketing is priced per account by prospect count: at 2,000 prospects it is $99, $499 or $999 a month on annual billing, so the step from Plus to Professional is five times the price. Insightly Service, the help desk, mirrors the CRM at $29, $49 and $99 per user. AppConnect, the integration platform, starts at $249 a month for 25,000 tasks, rises to $799 for 100,000 and $1,899 for 250,000, and carries a required $3,000 technical setup. The All-in-One bundle starts at $349 a month with two CRM users and 2,000 prospects included, and Insightly claims savings of up to 30% against buying the parts separately.
Buy Insightly Professional if you are a team of roughly 3 to 20 people that sells a deal and then delivers it as a project, wants workflow automation, and is comfortable with an annual contract. At $49 a seat it does that job well, and the linked projects save you a second subscription. Ask in writing about the onboarding and Premier fees, and put your renewal date in the calendar 30 days early.
Skip it if Plus is the plan you can afford. Without automation it is a contact list with a pipeline, and Less Annoying CRM or Capsule do that more simply for a small team. Skip it if you need a free tier, which Insightly dropped by mid-2025: HubSpot still has one. If your team lives in the pipeline view and does not run projects, Pipedrive is built around exactly that. And if you need quotes or validation rules without paying $99 a seat, compare Zoho CRM first.
